How we handle your data.

The short, honest version. We collect what we need to reply, nothing more.

  1. 1. Who is responsible for your data

    The data controller is ReclaimHQ Ltd (trading as Hugo Alarm Systems), a private limited company registered in England and Wales, company number 17042386.

  2. 2. What data we collect

    When you request a quote through the website we collect only what we need to reply: your name, your email address, your phone number (if you give it), your postcode, your package preference, and any notes you leave for us.

    We also store the hashed source of your IP address and your browser user-agent string, used solely to protect the form from automated abuse. We do not store your raw IP address.

    The website does not use third-party analytics, advertising cookies, or tracking pixels. There is no marketing list, no remarketing tag, and no cross-site tracking.

  3. 3. Why we use it

    We use your details to respond to your enquiry, prepare a quote, book a survey, and (if you proceed) administer your installation and comprehensive cover. We do not use your data for marketing without your separate, explicit opt-in.

  4. 4. Lawful basis

    The lawful bases we rely on are:

    • Legitimate interests — to reply to an enquiry you initiated and to protect the form from abuse.
    • Contract — to perform the survey, installation, and comprehensive-cover obligations once you become a customer.
    • Legal obligation — where we are required to retain records for accounting, tax, or warranty purposes.

  5. 5. Who we share data with

    We do not sell your data. We use a small set of carefully selected processors to run the business:

    • Supabase (EU region) — stores quote enquiries securely.
    • Resend (EU region) — sends our reply emails and internal notifications.
    • Railway — hosts the website.

    Each of these processors is bound by a data processing agreement and keeps your data inside the UK / EU. We will share your details with HMRC or any other regulator only if we are legally required to.

  6. 6. How long we keep it

    Quote enquiries that do not become customers are retained for up to twelve (12) months, then deleted. Customer records (survey, installation, comprehensive-cover history) are retained for the duration of your cover plus seven (7) years to meet our accounting and warranty obligations, then deleted.

  7. 7. Your rights

    Under UK GDPR you have the right to:

    • access the personal data we hold about you;
    • have inaccurate data corrected;
    • request deletion of your data, subject to our legal duties;
    • object to processing or restrict it;
    • port your data to another provider where applicable.

    Email hello@hugoalarms.com to exercise any of these rights. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

  8. 8. Changes to this notice

    We may update this notice as the business evolves. The date of the latest review is shown at the bottom of this page. Material changes will be flagged at the top of the page for at least thirty (30) days.
